RULES & PROCEDURES GOVERNING THE USE OF KOLEJ PROFESIONAL MARA

AYER MOLEK'S LIBRARY

The Library of Kolej Profesional MARA Ayer Molek is a special section of the college which provides a collection of reading materials and references for its users. The positive environment, together with its peace and tranquillity, promises great satisfaction to everybody who enters the library. This library is open for all students and staffs of KPMAM. Rest assured the College Librarian and the Library staff will always strive to give the best possible services to its users.

2. MEMBERSHIP REGISTRATION

a. Academic & Non-Academic Staffs
 
Academic and non-academic staffs who intend to be members of the Library must produce their valid MARA ID. In addition to that, they also need to bring along TWO passport-sized photographs of themselves.
 
b. Students
 
All KPMAM students are required to register themselves to the Library Administration by completing the forms which have been provided and also providing a recent passport-sized photo of themselves. Upon completion of the registration, they are immediately allowed to borrow books and use all of the services the Library may offer. Nevertheless, students are also required to bring along their College ID Cards.
 
It is compulsory that all students use their own ID Cards to borrow from or return reading materials to the Library. The use of other students' or invalid ID Cards is a serious offense and carries with it stiff penalties.
 
3. BORROWING & RETURNING BOOKS
 
a. All students are allowed to borrow up to THREE books at any one time. Books may be borrowed for ONLY ONE WEEK.
 
b. KPMAM Lecturers are allowed to borrow up to a maximum of EIGHT books at any one time. Books may be borrowed for ONLY A MONTH.
 
c. The Admin & Support Staffs are allowed to borrow ONLY TWO books at any one time. Books may also be borrowed for ONLY A MONTH.
 
d. There are also certain library materials that are not allowed to be borrowed from the Library such as reference books, latest magazines, bound volumes of magazines, Red Spot collection, examination questions & answer keys, daily newspapers and the question bank which has been copied to a CD.
 
Nevertheless, students who wish to photocopy Red Spot items and question bank references may be allowed to bring out these items for a given period of time.
 
4. THE PROCEDURES FOR BORROWING & RETURNING BOOKS
 
a. Students who wish to borrow books are required to show their valid KPMAM students' ID cards every single time they wish to borrow books from the library.
 
b. It is the responsibility of the students to check for any irregularities in the books they wish to borrow before borrowing them.
 
c. Students who wish to borrow books must bring the books to the counter themselves and show their ID cards in order to complete the borrowing process.
 
d. Students who wish to borrow books need to write down their Student's ID Number (e.g. MDA0701001) & their class on every single Borrowing Cards.
 
e. The officer on duty will stamp the due date to return the books on the Returning Slips which have been placed in the books.
 
f. Students who have borrowed books are required to return the books to the Library before or on the date that is shown in the Returning Slips.
 
g. Students are discouraged to borrow and then return the books they have borrowed on the same day.
 
h. Books that have been borrowed must be returned by the students themselves. Students need to again show their ID Cards when returning books to the Library. Library staffs have the rights to reject books that are being returned by another student who did not borrow those books.
 
i. When returning books, students are required to remain at the counter until the returning process has been completed. The Library Staffs shall not be held responsible for the loss of ID Cards in the Library. The Officer on duty will check all books to ensure that they are still in very good condition whilst under the care of the borrowers.
 
j. Students who are returning the books have to ensure that their ID Cards have been safely returned to them and the Return Date has been stamped on the Returning Slips before leaving the counter.
 
5. BORROWING PERIOD, RESERVATIONS & RENEWALS
 
The borrowing period is ONLY A WEEK for students and A MONTH for academic and non-academic staffs. Academic staff are also allowed to borrow two books for the whole semester.
 
The renewal of the same books is only permitted for two consecutive times. This is allowed with the condition that the books have not been reserved by other users. This means students may borrow a reading material for a maximum period of TWO WEEKS. Academic and non-academic staffs, on the other hand, are allowed to borrow a reading material for a maximum period of TWO MONTHS. This is to ensure that books are put back in to circulation as quickly as possible for the benefit of all users.
 
If a book that a student wants to borrow is currently in the possession of another user, the student concerned may wish to reserve that book when it is returned to the Library. The student needs to only fill out a Book Reservation Form that can be taken from the counter; one form for each book he or she is interested in reserving. The student also has to make sure all details of the book he or she wants to reserve are correct and complete.
 
When a reserved book has been returned to the Library, the first copy of the completed Reservation Form will be put up on the Library's Notice Board. The reserved books will be kept at the counter for ONLY THREE DAYS. The books will then be put back on the open shelves for any other users to borrow if they are still at the counter at the end of those three days.
 
6. OVERDUE BOOKS
 
If borrowers return books after the date stamped inside, they will be asked to pay a fine. Currently the fines for each book borrowed are as follows:
 
a. RM0.20 for every single day they fail to return the books until on the day the books are returned to the Library.
 
b. Unless the books are returned, students with "OVERDUE BOOKS" will be prohibited from borrowing any other materials from the Library.
 
c. The borrower's name and photo will be put up on the college's Notice Board if he or she still has not returned the Library books he or she has borrowed a month after the due date has passed. The student's name will then be submitted to the Director of KPMAM for other disciplinary actions.
 
d. If borrowers have completed their studies in KPMAM but are yet to return books they have borrowed, their Diploma will be withheld.
 
7. LOST BOOKS
 
Students who have lost or damaged materials borrowed from the Library are required to immediately inform the Library. The Library is fully authorized by the college to demand that the students concerned be suitably punished (e.g. to bear the total cost of borrowed materials). A processing fee of RM5 has to be paid too.
 
8. REFERENCE MATERIALS
 
Some examples of reference materials are reference books (e.g. encyclopaedia, dictionaries, etc.), bound volumes of magazines, current magazines, daily newspapers, reports, books marked with the letter ‘R' or "Green' and marked with RED colour on the spine of the books. Library users are not allowed to bring out of the Library these materials.
 
9. RED SPOT BOOKS
 
a. Red Spot books are highly popular books but copies which are available in the Library are very limited. These materials are located in a special section of the Library and are closely monitored by the Library staff. Users who wish to borrow these materials must first leave their ID Cards at the counter. They may collect back their ID Cards once the Red Spot materials have been returned. Red Spot materials will not be allowed to be borrowed if students do not have their ID Cards with them.
 
b. Users who wish to use the Red Spot items need to first inform the Library Staff on duty. Users are not allowed to take the Red Spot items without the Library Staff's permission.
 
c. Users who bring out Red Spot items without the prior approval of the Library Staff will be barred from borrowing any other Red Spot items.
 
10. PERSONAL BELONGINGS THAT ARE NOT ALLOWED IN THE LIBRARY
 
  • Bags (ONLY wallets & small purses may be brought into the Library)
  • Any forms of files
  • Food & drinks
  • Any forms of listening device
  • Any forms of materials that are used for entertainment
  • Mobile phones (if for safety reasons, phones may be brought into the Library but students need to put them into silent mode)
 
11. NORMAL CHECKS BEFORE LEAVING THE LIBRARY
 
Before exiting the Library, all users need to stop at the Library's check point. They would have to show to the Office on duty all items they are bringing out of the Library.
 
12. ORDERLINESS
 
1. In order to ensure the complete calmness and conduciveness of the Library is maintained, Library users are not allowed to do the following:
 
  • Talking to one another & making noise
  • Eating & drinking
  • Smoking
  • Littering the floor
  • Reserving chairs & tables
  • Hiding books
  • Misusing Library properties
  • Scribbling on the tables & other Library properties
  • Cutting & tearing off sections of or pages of printed reading materials
 
2.Library staff or the officer on duty has been authorized to order Library users who have violated its rules & regulations to leave the Library immediately.
 
3. Library users must always enter & exit the Library through the front door
 
4. In order to ensure the books are always arranged in their correct classification of subjects, Library users are advised not to return the books back to the shelves. Instead those books should be placed on the trolleys that have been provided.
 
5. If in any circumstances there is a dispute pertaining to the use of the Library, the Director of KPMAM has the authority to decide on the best possible solution.
